I am seeking a Buildium expert to assist with the configuration of Buildium for my rental properties. The candidate will be responsible for migrating historical rent and financial data for 7 rental properties and providing comprehensive training on using the platform effectively. Ideal candidates should have demonstrable solid experience with Buildium and a solid understanding of property management software. This project is critical for optimizing our workflow and ensuring accurate data handling.

Key Scope:
A. Develop a comprehensive chart of accounts tailored to rental property management.
A.1 Configure Property, Plant, and Equipment (PPE) accounts, including Acc. Depreciation, Long Term Debt (Mortgages),…etc a IFRS/ IAS fully compliant Chart of Accounts
A.2 Configure proper accounts for Management and tracking of postdated rental cheques and prepaid income accounts (currently rent prepayment with PDC’s is a huge pain for us to keep track of and appropriately record !).
A.4 Configure Accounts prepaid income accounts.

B. Historical Data Preparation for Migration.

B.1 Prepare data for properties (7), historical and current leases, owners (2), Tenants and vendors
B.2 Prepare historical income data for upload
B.3 Prepare historical expenses for upload including historical depreciation.
B.4 Prepare historical mortgage payment data for upload
B.5 Prepare old documents (leases, cheques, notices…etc) for bulk upload against respective properties/ Tenants.

C. Configure Buildium and Perform Data Migration.

C.1 Configure IFRS/IAS compliant Chart of accounts as per approved chart.
C2. Configure Application Cycle (should meet with me, map the process, capture the process and data required during application, build the process and perform 2 test runs with me)
C.3 Configure Lease Contract Templates and addendums. (Configure 2 Templates and 2 Addendums) all should use merge fields.
C.4 Configure Auto lease renewal letter (to be attached to lease renewal email)
C.5 Configure banking. (up to 5 bank accounts in UAE to be connected synchronized for auto reconciliation).
C.6 Configure property inspection Templates and workflows (up to 8 Templates)
C.7 Configure and map custom fields (up to 20 custom fields).
C.8 Configure and map merge fields (up to 20 merge fields)
C.9 Configure automatic non rental charges such as (lease renewal charge, bounced cheque charge, Admin Fee, contract attestation charge…etc up to 8 automatic charges).
C.10 Configure standard charge for contract cancelation.
C.11 Configure process for Tenant move out (two move out processes)
C.12 Migrate financial data for a total of seven properties. Includes migrating all historical transactions (assets acquisitions, historical income, historical expenses, disbursements...etc)

D. Testing and Training.

D.1 Must perform 2 successful test scripts for all configured processes.
D.2 Must provide training on all standard functions including, lease renewal, owner draw outs, posting of post dated cheques, full monthly closing and account balancing, tenant move in and tenant move out.

E. IMPORTANT:

E.1 All data must first be prepared and compiled in spreadsheets and shared with me for review and approval before being entered into Buildium. No data can be created in system without my written approval.
E.2 Rental here is paid in advance (3-month, 6 month or 12 month in advance), whenever advanced payment is for less than 12 months, payment is done through post dated cheques. Automation and mapping of appropriate process for management and keeping track of post dated rental checks IS ESSENTAL FOR US.
E.3 Provider must check beforehand ability for Buildium to connect and sync automatically our bank accounts here in UAE (personal bank accounts not business).
E.4 Provider must quarterly support to check the accounts and insure integrity of book keeping (separate engagement paid additional fee)
