Phase 1: Data Import/Core Integrations/Workflow/Data & Sales Optimization
- Import full quotes, sales orders, and purchase orders from excel into Books - Opportunities related need to be imported into the native Books “potential” field . (. (Note all invoices , bills and other transactions are already imported as well as customers, vendors, and all products )
- Ensure proper sync between Books and CRM, with CRM as the master system. If Books cannot change anything in CRM .
- Clean and merge product data. (ensure all info in CRM and Books match and they both have the same fields.
- Clean and merge duplicate Customers , Vendors, Accounts, and Products in Books and CRM
- Enable the creation of Quotes (in Books) from a product subform in Opportunities then convert to sales order (in books), create purchase orders(in books and relate it to the opp), create Packing Slip, Receive goods, invoices all according to the stages in Opps (transactions in books).
- Optimize sales flow and opportunity speed.
- Ensure uniform and complete information in accounts and contacts and same Visual In both CRM and Books Platforms( same as Books visual)
- Create a uniform canvas for all modules.
- Automated Customer Account Opening & Payment Processing in Zoho CRM & Zoho Books
- Develop a history search functionality for CRM. Automate a section in Opportunity that can search our complete system and summarize if we have ever sold specific products to the specific customer with margins and other relevant info ( AI powered can be utilized )
- Enhance reporting capabilities with extensive, industry-specific reports.
- Clean workflows to improve efficiency. (delete all unused functions and workflows so there is no clutter )
- Automate account opening processes with Zoho Forms.
- Block specific fields and lock records to ensure data integrity.
- Streamline accounts payable and credit card payment automations.
- Automate solicitation processes.
- Implement shared mailboxes for collaborative communication.
- Optimize sending requests to suppliers and parsing supplier uploads. (RFQ Platform Development) Open to any suggestions
- Enhance transport estimates using AI integration or Postal code/rate sheets (open to any suggestions
