Administration:
General Admin ▪ Provide a variety of admin and PA support to the Managing Director as required ▪ Creating and editing business documents using Microsoft Word, Excel, Outlook and PDF’s ▪ Ensure accurate digital storage of all business documents. ▪ Note taking in meetings. ▪ Draft correspondence on behalf of the Managing Director. ▪ Answering customer enquires via email and phone. ▪
recruitment: Place adverts, screen applications, reference checks, prepare/carry out inductions. ▪ Plan and book trips for Managing Director. ▪ Complete annual renewals for professional body memberships ▪ Updating company website ▪ Assist with social media and marketing newsletters.
Counselling/Employee Assistance Programmes ▪ Handling counselling client enquiries in a sensitive manner. ▪ Collecting the correct information to determine the most appropriate person in direction to refer the client to. ▪ Setting up initial consultations with telephone and email communication to the client and counsellor. ▪ To liaise and communicate effectively with direction team members via phone and email. ▪ Following up EAP company enquiries and preparing proposals ▪ Keeping accurate, confidential client records. ▪ Liaise with key contacts in EAP organisations.
Finance ▪ Bookkeeping: Generating invoices, bank reconciliation, processing payments, creating client receipts, petty cash, manage PayPal account, produce financial reports and budgets. ▪ Record private client payments and ensure no late payments. ▪ Liaise with the accountant. ▪ Calculate figures for business proposals. ▪ Process directors PAYE through Xero for HMRC ▪ Pay invoices.
Workplace Training/Mindful Events ▪ Assist with planning and production of training presentations. ▪ Prepare materials and training equipment. ▪ Design posters/leaflets to advertise events. ▪ Manage online bookings and ticket sales via the company website and 3rd parties.
