ADMINISTRATIVE AIDE, UIC FACILITIES MANAGEMENT

Administer and manage confidential documents including personnel, payroll and historical

documents, Serves as a liaison between departments and other constituencies, outside agencies

and internal staff. Provides information, assistance, and advice to potential vendors, and visitors.

Assist with departmental accounts, budget transfers within various internal accounts, maintains

fiscal year end department budget and itemized records of expenditure.

Assist JOC administrator in creating and tracking projects for the Job Ordering Contracting

System including proposals, invoicing, closeout, evaluations and filing Input and record final

correspondence of project billing from project management team(s) Assign Work Order and

Project Numbers for billing and contracting purposes and set up for various projects to track in

various office software systems.

Composes correspondence and brief, narrative reports with responsibility for accurately stating

factual information gathered from several readily available sources Initiates calls to obtain, verify

or clarify factual information regarding unit regulations and procedures. Transcribe documents,

reports, bulletins, marketing materials, manuscripts and similar materials with responsibility for

determining format and correcting errors in sentence and paragraph structure, spelling,

punctuation and grammar.

Provides support to administrators on various administrative/personnel matters in various

department Plans various aspects of special projects and essential programs including complex

scheduling for meetings, travel, special projects and on/off sight events. Assists in developing job

descriptions for student workers and assists with personnel transactions, searches, payroll and

employment Responsible for final copy of payroll and timecard distribution for internal staff and

student workers.
