Office Management:
- Handle office supplies and inventory management
Data Entry and Record Keeping:
- Input data into databases and systems.
- Maintain accurate records and filing systems.
- Organize and retrieve files as needed.
Communication Management:
- Filter inbound communications and direct them appropriately.
- Manage incoming and outgoing electronic communications and faxes.
- Maintain confidentiality in all communications.
- Draft, proofread, and send e communication, letters, and memos on behalf of executives.
- Act as a liaison between executives and other stakeholders.
Scheduling and Calendar Management:
- Schedule appointments, meetings, and events for staff members.
- Send reminders and follow up with attendees.
- Coordinate room reservations for meetings.
Document Preparation and Editing:
- Prepare and format documents, letters, and reports.
- Proofread and edit materials for accuracy.
- Draft correspondence for managers or teams.
Support to Team Members:
- Assist other team members with administrative tasks.
- Coordinate team activities and events.
- Provide support for onboarding new employees.
Bookkeeping and Financial Support:
- Assist with basic accounting tasks, such as invoicing or P/L.
- Track office expenses and assist with budget preparation.
Customer Service:
- Assist clients, customers with inquiries.
- Follow up communications/emails to ensure client satisfaction.
Travel Arrangements:
- Book travel for staff members, including flights, hotels, and car rentals.
- Prepare travel itineraries and confirm bookings.
Project Assistance:
- Administrative aspects of projects, such as setting timelines, tracking deliverables, or preparing status reports.
- Assist with basic research or compiling information for project teams.
Compliance and Reporting:
- Ensure adherence to office policies, procedures, and compliance regulations.
- Prepare and file reports for internal or external purposes.
*Hourly rate dependent on amount of tasks expected in given time frame.
