o Maintaining physical and digital personnel records like employment contracts and PTO requests. o Update internal databases with new hire information o Create and distribute guidelines and FAQ documents about company policies o Gather payroll data like bank accounts and working days. o Maintains office staff by recruiting, selecting, orienting, and training employees. o Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement. o Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments. o Responsible for ensuring office financial objectives are met by preparing the annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise. o Publish and remove job ads o Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time. o Managing office budgets o Ensure security, integrity, and confidentiality of data o Oversee adherence to office policies and procedures o Prepare operational reports and schedules to ensure efficiency. o Coordinate schedules, appointments, and bookings. o Supervising and monitoring the work of administrative staff. o Schedule job interviews and contact candidates as needed. o Prepare reports and presentations on HR-related metrics like the total number of hires by department o Develop training and onboarding material. o Respond to employees’ questions about benefits (for example, the number of vacation days they’re eligible for).
