  • PowerPoint presentations
  • Departmental Budget submissions and monitoring
  • Procedure manual compilation and publishing
  • Diary management for General Manager, 2 Divisional Managers and 6 Managers 
  • Ensure the General Manager has relevant documentation for meetings both internal and external stakeholders
  • Setting up of meetings for all managers
  • Prepare documents such as memos, letters, reports, presentations etc. and ensure confidentiality
  • Assist with enquiries and forward to relevant managers
  • Distribute internal and external correspondence from General Manager and Divisional Managers
  • Deal with queries/complaints where necessary
  • Ensure venues for meetings are booked and in good order
  • Minute taking and distribution
  • General Office Management duties ie Filing, Photocopying etc.
  • Safe keeping of confidential documents
  • Follow up on Executive actions from meeting minutes with the team, according to deadlines
  • Duty travel arrangements i.e. flight bookings, hotel bookings, visa’s, car hire, S & T, reconciliations for Technical department
  • Assist Managers within the department with admin duties as and when required.
  • Keep track of staff movements i.e. sick, leave, away on duty etc.
  • Managers and staff monthly time sheets, ensure correctness, compile overtime and submit within deadlines
  • Petty cash control and reconciliation
  • All cost centre budgets – assistance with compiling, submitting and controlling expenditure
  • ACSA airside permits for vehicles and staff
  • Non aircraft items purchase order generation and payment
  • Purchasing and issuing of PPE i.e. safety shoes, overalls, safety glasses, reflector jackets, first aid kits, gloves
  • Assistance with ordering and distribution of corporate uniforms
  • Stationary ordering and distributing for department
  • Ensure all expense authorisations are vetted and authorised
  • Arrange staff functions, quarterly briefings, farewell functions, year end functions, management birthday gifts and functions
