Position: Project Secretary
•Answering and receiving telephone calls
•Receive, direct and relay telephone messages and facsimile messages.
•Greet and assist visitors, ascertain nature of business and direct visitors to employer or appropriate person
•Responsible for electronic filing of all documents within the project
•Receive and distribute all incoming correspondence to the concerned person and co-ordinate the flow of information internally and with other departments.
•Process documents, drafting of correspondence received from Project managers and Engineers and prepare drawings for submission.
•Prepare, key in, edit and proofread correspondence, office notes/memos and purchase/work orders as required.
•Verifying spreadsheets and corresponding transmittals in conjunction with Document Control and Accounting department
•Maintaining the log registries for Incoming/Outgoing correspondence, Purchase/Work Orders and Invoices.
•Updating and hyper-linking the scanned copies of Incoming/Outgoing correspondences and Purchase/Work orders to the log spreadsheets in sequence and from time to time basis.
•Filing all Incoming/Outgoing correspondence and Purchase/Work Orders accordingly.
•Receive and Entry all incoming invoice accordingly and from time to time basis.
•Provide administrative support for Project Manager, Engineers and other staffs

Position: Document Controller
•Maintaining a tracking facility to enable documents to be updated easily.
•Scanning in all relevant new documents/transmittals.
•Issuing and distributing controlled copies of information.
•Managing and maintaining a Document Control System.
•Ensuring all drawing logs is up to date as possible within electronic filing systems.
•Perform basic jobs in Aconex.

Work Terms

$8 per hour
